Smart folder, category and context
TooDo works with those items, which are sets of to-dos list. We explain what those items are and how to work with them.
This documentation is based on TooDo v2.3.1.
As previously said, it is important to have in mind that a smart folder, a category and a context contains to-dos. Those three types of items are presented on the default TooDo start screen, via three tabs "Smart Folders", "Category" and "Context": when you hit one of those tabs, you are displayed the list of all items belonging to the selected type. When you hit one item in a list, TooDo opens a new screen which displays the list of to-dos that belong to it. If you need to edit a smart folder, a category or a context, use the contextual menu on the selected item, and hit the "Edit" menu entry.
Smart folder
A smart folder is just a to-dos container attached to a filter, which indicates criteria. A smart folder is given a name, and the filter is expressed through various criteria, namely:
- category: when set to someting else than "All To-Dos", only the to-do pertaining to the selected category will be part of the container
- context: when set to something else than "All Contexts", only the to-do bound to the selected context will be part of the container
- status: there are three filtering options, which are "completed" (the green icon with a check mark), "not completed" (the blue icon with the interrogation mark) and "overdue" (the red icon with the cross). You can click on each of those icons in order to gray/ungray them. When a status icon is grayed, all to-dos that have a similar status will not be part of the container
- importance: it enables to indicate the minimum importance of the to-dos belonging to the container. If set to "Low", no to-do will be filtered
- due date: when set to something else than "Any", only the to-dos with a due date lower than the selected entry will be part of the container
- creation date: when set to something else than "Any", only the to-dos created withtin the selected time frame will be part of the container.
All those criteria are applied at the same time, and in order for a to-do to belong to the container, it must match all expressed criteria.
Category
A category enables to structure to-dos into folders. A category can be thought as a folder. It has a name, a description, and various options that will be used when creating/modifying a to-do that belong to it.
When synchronizing with RTM or Toodledo, a category are mapped respectively to RTM list and Toodledo folder.
Context
A context is related to a Getting Things Done (GTD) concept. It allows you to indicate that a to-do can only be achieved when you are under a specific situation. It is given a name and a description. You can also indicate some geographical zones that will switch TooDo to that context. More on this soon, because we need to simplify a lot the way the geographical zones are expressed.
TooDo offers the opportunity to indicate in what context, i.e. situation, you currently are through the "Dashboard" screen. When switching to a context, all to-dos that are bound to that context will trigger a reminding notification.
